Terms and Conditions
Terms And Conditions
Please ensure you are familiar with these terms and conditions. Click on the headings below to expand their text sections:
Memberships are sold as non-refundable. If a member discovers that they will be unable to attend, then they may sell their membership to another person as long as our memberships officer (members@idwcon.org) is notified of all of the details so that we can transfer the membership across to the new member, and no later than 28 days before the beginning of the convention. There are no physical membership “tickets” so the only proof of membership is registration on our membership database.
You must keep your membership badge with you and visible at all times during the convention. Failure to produce your membership badge may result in your entry to events being refused.
We reserve the right to revoke membership for anyone acting against the terms and conditions, especially those of the harassment or weapons policies.
Children:
Under 18s must be accompanied at the Convention by an adult (specified on their membership application) who will assume legal responsibility for them for the duration of the Convention. Minors are at all times the responsibility of their nominated adult – the IDWCon committee assumes no responsibility for minors. Children under 13 years old at the time of the Convention may attend for a nominal fee of €1; however, we MUST have received a valid membership application and therefore have assigned a membership number. They must be accompanied by their nominated adult at all times.
Concessions:
A Concessionary discount rate of €45 is available for full time students, pensioners, teenagers aged 13 to 17 at the time of the Convention, and those on Jobseekers' or Disability Allowance. You may be asked to provide proof of status at the event.

All weapons of any kind will be checked in with the committee at the Registration desk as soon as possible following hotel check-in. There are no exceptions to the “check weapons in with us” policy. Permission to wear or carry any weapons is conditional on the approval of the Watch, in conjunction with Committee, to whom all weapons should be brought. The Committee will have the Watch examine all weapons brought to their attention. Weapons will be kept by the committee in a designated area until required for the Maskerade or photo shoot. Weapons which have not been checked should not be brought into the hotel or common areas.
Determination of what constitutes a weapon is at the sole discretion of the Watch and Committee. People who disregard the weapons policy may have their Con membership revoked and be asked to leave the Convention.

IDWCon is dedicated to providing a safe and comfortable Convention experience for everyone. Harassment of any kind, including but not limited to unwelcome attention, verbal harassment, deliberate intimidation, stalking, or unwelcome physical contact – let alone physical assault or battery – will not be tolerated.
If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of the Convention Committee immediately (Go to the registration desk or look out for one of our distinctive shirts). There will also be an emergency phone number available to ring at any point during the convention, if you have any concerns – you’ll be able to find it in your programme booklet or on posters throughout the convention areas.
Your reports of harassment or similar activity will be recorded and the Chair will be informed. The Convention Committee will discuss the situation internally, as well as with any relevant parties, and a decision will then be made on what action is to be taken. Convention participants violating these rules can be sanctioned or expelled from the Convention at the discretion of the Convention Committee.
In addition to dealing with the harassment quickly and decisively ourselves, Convention staff will be happy to help participants contact hotel security and/or An Garda Síochána (police), provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the convention.
Please be aware that not everyone likes their photograph taken. If you wish to take somebody's photograph, please ask their permission and respect their wishes if they decline.
We aim to provide a family friendly environment so attendees are expected to act accordingly. Please show respect to your fellow members.
If any damage is caused to the hotel during the course of the event by any member, the committee reserve the right to pass on the cost of that damage to the member or members responsible.

An example of processing would be the emailing of progress reports/newsletters to the email address provided. Members' information will not be revealed to any third party and will not be used unfairly or unlawfully. You are entitled to have your information removed from our databases upon request.
The EU Regulation on General Data Protection Regulation (GDPR) comes into force on 25th May 2018; we have appointed a compliance officer and will ensure we fully comply with all aspects of this new regulation. Please contact webmaster@idwcon.org for more information.
